GENERAL INFORMATION:

Barg. Unit: MSEA (Maine Service Employees Association)
Status: Full Time, hourly (37.5 hours/week)
Class Grade: 15 [$21.85 – $24.62/hour]
SUMMARY: Performs highly responsible administrative duties in a fast-paced office environment while maintaining proper judgement, tact and confidentiality, as required.
EDUCATION AND EXPERIENCE: Associate’s degree and four (4) years related experience, or equivalent combination of education, experience and training. Strong planning, organizational and time management skills are essential. Must be able to maintain accurate records and display the ability to interact with City departments, employees, external agencies and the public in a professional and courteous manner.
WORK ACTIVITIES: Maintain records of various City programs and federal grants. Process financial documents for accounts payable, accounts receivable, and departmental payroll. Assist with monthly, quarterly and annual financial reports and budgets. Monitor the City’s loan portfolio, including loan information, contracts and sub-recipient records. Create and maintain grant contracts and associated records, including monitoring both loan and grant client reports and financial transactions. Track Community Development Block Grant activities as relates to national database IDIS (Integrated Disbursement and Information System) for federal reporting. Provide clerical support to City boards and committees, such as preparation of meeting packets and posting agenda packets. Prepare loan documents, closing documents, and create grant files. Perform other duties as assigned.
